We use "Producer" referring to meetings and events. If you're a media or TV producer, pass on this. having said's what we're looking for. We seek someone who LOVES planning meetings and events...LOVES a Google spreadsheet with meeting room assignments and the puzzle of it....LOVES traveling....since this position will have you traveling around North America 60+ days a year.....LOVES collaborating and coming up with clever, original and solution-oriented Gathering Ideas (finding a live karoake band in Dearborn, MI....where can I source 50+ slat walls for a 3 day rental in Miami)...LOVES a small agency feeling (there's only 14 of us)...someone who can work collaboratively with a 2-3 person project team...and get some sh-t done independently when collaboration isn't needed. To oversee, manage and execute Ember events and meeting projects. To take a gathering from start to finish while meeting standards of a Ember portfolio gathering (objectives met, client expectations, budget performance, attendee satisfaction).

> 75% Gathering planning, 10% Team management, 10% Partner/Vendor communication, 5% Relationship management with brands


> Manage unique multi-faceted events of all size and scale

> Oversee all aspects including; budget management, attendee management, general session production, site selection, food + beverage, activities, transportation, creative + media development

> Utilize Basecamp 3 Project Management software to create and sustain project timelines, organize files, communicate information to project team and archive project documentation

> Exercise autonomy while adhering to Ember’s project process


> Set the tone with communication excellence, both written and verbal, exercising proficiency with internal team members and while interfacing with clients externally

> Manage internal project team, including Gatherings Coordinators, Designers, Production Designers, contractors and interns

> Build professional relationship with clients, managing expectations and deliverables from initial proposal through project life

> Engage Ember preferred vendors as collaborators delivering exceptional services. Source, negotiate and manage budget and detail specifications, while strengthening partnerships

> Initiate “red line” meetings and “reflects” that allow every detail of the project to be examined, through thoughtful and intentional team discourse


> Think outside the box, exercise creativity and pursue opportunities to create authentic and unique gatherings

> Recognize learnings through successes and areas of improvement so that best practices are shared and followed

> Practice “safe” communication and stay open to outcomes



> Bachelor’s Degree or higher education preferred

> Moldable - the ability to be shaped by Ember

> Portfolio of “Gathering” work - 4 years worth

> Customer-centric minded

> The ability to work independently and collaboratively

> The ability to be vulnerable

> A sense of humor

> Ability to take and learn from feedback rich environment

> You have to love TEAM’s and effectively interact with groups of people


Report to Gathering VP, and support Brand Experience Managers on specific projects

You should have a giant resume of large meetings or events you've managed, a few of which you've been the lead meeting planner or event organizer on, a complete understanding of all meeting and event disciplines (F&B, AV, Site Selection), proven abilities and experience in TEAM management and be someone, and ultimately have significant meeting expertise and management skills.
